AI in Sydbar

What Sydbar uses AI for, which key pays for it, and the models behind it.

What uses AI

  • Drafting invoices and revising them in the chat.
  • Drafting scopes of work from calls, the documents in your mail and emails.
  • Working out where a client's project stands (the brief on the client page).
  • Choosing what the rest reads. Jev, a fast decision model, tags each message in a conversation with a client (or one you took part in): is it about money, about what was agreed, about delivered work, or asking for something. The brief and the scope drafter read those first and set aside mail Jev is sure has nothing in it, so the bigger model reads less and reads better. Before an email's images go to the vision model, Jev reads its words and skips images it's sure are decoration.
  • Reading the images in client emails. A screenshot or photo in a conversation with a client (or one you took part in) is described once by a vision model, with the words on it transcribed, and that note sits under the email's text for everything that reads it: the brief, the scope, the invoice creator, agents. The thread shows the notes under the message. Logos, banners and signature images are skipped, and nothing is read until the business has AI.
  • The business interview and setup.
  • Spotting subscriptions, and scoring what needs you.

Plain replies, sending, sorting into views, always-archive rules, tags and "Looks paid" don't need AI.

Add your key

Go to Settings → AI and paste an Anthropic or OpenAI API key. Sydbar checks it with the provider before saving, keeps it on the server, and afterwards shows only its last four characters.

Your provider bills you directly for what Sydbar uses. Set a monthly limit with your provider if you want a cap.

Which key is used

  • A business uses the key of the person who created it, for everyone who works in it.
  • Some workspaces include Sydbar's own AI credits. Otherwise AI pauses until a key is added: "Add your AI key in Settings → AI to use Sydbar's drafting."
  • If a key stops working, Sydbar pauses AI and says so. It never quietly switches to other credits.

Models

With an Anthropic key, Sydbar uses Claude Sonnet for drafts and Claude Haiku for quick turns. With OpenAI, GPT-5.5 and GPT-5.4 mini.

What AI is allowed to use

Drafts use only the conversation, the client's details and confirmed context. Mail, transcripts and documents are information, never instructions. Anything AI can't find is marked to confirm instead of guessed.
