Invoices

Create an invoice from an email, revise it in plain words, attach the PDF to your reply and approve it.

A client asks for an invoice. You send the right one, attached to their conversation, in a minute.

Create from the email

Open the conversation and choose Create with Sydbar, or press C. Sydbar drafts the invoice from the email, the client's billing details, the agreement and your business context. Anything it can't find, like a missing amount, is marked to confirm instead of guessed.

Each conversation has one invoice in progress. Open in creator goes back to it.

From the client page

Not every invoice starts with an email. New invoice on a client's page (and the deposit step after they sign a scope) starts one in a fresh thread to the client's contact. Sydbar asks what to bill, in your words: "Deposit, half the fee: $2,400" or "Extra round of revisions, $600". Amounts come from you, never guessed. Then attach it to the email in that thread and send, as with any invoice.

Numbering

The number is reserved when you start, as PREFIX-YEAR-NNN, for example NOR-2026-004. The prefix is the first three letters of the business name; the counter runs per business and year.

Revise

  • Chat: ask for a change in plain words ("split it into two milestones", "make it due in 14 days").
  • Edit fields: change the due date, and the description, quantity and amount of the first line. Ask in the chat to change other lines.

Every change makes a new version (v1, v2…) with its history. Preview shows the PDF. The sources Sydbar used are listed beside it.

Attach, approve and send

  1. Choose Attach to reply.
  2. Review Reply with invoice: recipients, the sending address, the attached version and the amount.
  3. Tick I approve this exact reply.
  4. Press Send.

A sent version can't be edited. To change it, start a new version from the creator; Sydbar shows when the newest version hasn't been sent.

After it's sent

The invoice shows the same status on the conversation, the client page and the creator: the version sent, the amount, who received it and when. Unpaid invoices appear on your calendar as Invoice due. When the client says they've paid, see Looks paid.

Payment terms

The default payment terms come from setup (for example "Net 14: due 14 days after the invoice date"). Leave them blank and Sydbar asks on each invoice.

Limits

Description 1 to 160 characters, quantity up to 10,000 in the editor, and the due date can't be before the issue date. Only the Invoice document type is available today.
